Team and roles
How to add people to an AI Studio workspace and what each role can see and change.
Every person in a workspace has one role. The role decides which pages they see and whether they can create, edit or delete. The dashboard hides what a role cannot use, and the server checks the same rules again, so a hidden button is never the only protection.
Add or change a member#
- Open Settings and stay on the General tab, where the member list is.
- Click Add Member.
- Enter the User Email, pick a Role and click Add new Member.
The role list offers Admin, Editor, Member, Guest and Maintainer. Admin is preselected. To change a role later, open the member and click Update Member. Remove Member takes them out of the workspace.
Only Owner and Admin can add, change or remove members. Editor can see the list but not change it.
Transfer ownership#
The owner can hand the workspace to another member with the Transfer Ownership button on that member’s row. You become an Admin and lose owner privileges. The new owner can delete the workspace or remove members, and their credits pay for the workspace from then on.
What each role can do#
| Area | Owner | Admin | Editor | Member | Guest | Maintainer |
|---|---|---|---|---|---|---|
| Agents, workflows, categories | Full | Full | Full | View | View | View |
| Chatbots | Full | Full | Full | View | None | None |
| History (chat sessions) | Full | Full | Full | View | None | None |
| Documents, Q&A, Memory, Schedules | Full | Full | Full | View | None | None |
| Integrations | Full | Full | Full | None | None | View |
| MCP Servers | Full | Full | Full | None | None | None |
| Connect your AI | View, revoke | View, revoke | View, revoke | View | None | None |
| Transactions and Costs Reporting | View | View | View | View | None | None |
| Subscription | View | None | None | None | None | None |
“Full” means view, create, edit and delete. “View” means read only. “None” means the page is hidden and the server refuses the request.
Settings#
Most Settings tabs open for Owner, Admin and Editor only. Member, Guest and Maintainer are sent back. The exceptions are Notifications, which every role can read, and Domains. Inside Settings:
- API Keys: Owner and Admin have full control. Editor can view and create keys but not edit or delete them. See API keys.
- Secrets: Owner and Admin have full control. Editor can view, create and edit.
- Credits: Owner and Admin can change the workspace credit limit.
- Authentication (single sign-on): Owner has full control and Admin can view. Enterprise only.
- Observability: Owner, Admin and Editor.
Only the owner sees billing
Subscription and plan changes belong to the workspace owner. An Admin who opens that page is sent back to Home. If your workspace is out of credits, ask the owner to top up. See out of credits.
